PLEASE READ CAREFULLY
Iceland Travel offers a variety of tours, packages tickets and services ("products") through its website (icelandtravel.is). Because our Terms & Conditions contain legal obligations, we encourage you to read them carefully. They form the basis on which bookings are accepted by Iceland Travel. The purchase of any travel services offered by Iceland Travel constitutes a contractual arrangement between the person making the booking and Iceland Travel, and represents acceptance of Iceland Travel's Terms & Conditions described here. Please ensure that you read carefully and understand these Terms & Conditions prior to booking.
All bookings made online require full payment at the time of booking. Iceland Travel accepts Visa, MasterCard, Diners Club, JCB, Discovery and American Express. American Express charges IT a 3.8% handling fee and we regretfully have to pass this fee on to our clients, this fee applies to the total invoice.
After your booking is confirmed, you will receive an email with your booking number and a list of services purchased. Please print this document and bring it along to Iceland as this will be your proof of payment and to be used as a voucher in your Iceland visit.
You will also receive via email a confirmation invoice and your e-ticket for your flight (i.e. if packages with flight included have been purchased).
Please check all details on your confirmation carefully to ensure they are exactly as you requested. In the event of discrepancy, please contact Iceland Travel immediately as it may not be possible to make changes later.
BOOKINGS
Bookings for individuals are to be made through Iceland Travel's website www.icelandtravel.is . They can also be made by email to bookings@icelandtravel.is or fax (00354 5854391).
Every detail regarding the booking must be carefully filled in, for all packages including international flight please ensure that all passenger´s name are identical to the names as they are in the traveler's passport.
For group bookings please contact sales@icelandtravel.is.
TERMS OF PAYMENT
All bookings made through Iceland Travel's website www.icelandtravel.is , require a full payment with credit card at the time of booking.
A nonrefundable deposit of 10%, of the total package price should reach Iceland Travel 8 weeks prior to arrival. Iceland Travel will send a proforma invoice for groups for full payment, 6 weeks prior to arrival. Full payment (less deposit) for groups and individuals shall reach Iceland Travel at least 4 weeks prior to arrival of clients or upon confirmation of booking if done within 4 weeks. In case of further delay on payments, Iceland Travel will reserve the right to treat the booking as a cancellation and withdraw its confirmation of services.
For large group bookings of more than 50 rooms, IT can require a 10% deposit for the accommodation which is nonrefundable if the group is cancelled less than 6 months prior to arrival.
VALIDITY OF PRICES
All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland.
All prices on the icelandtravel.is website are per person, unless otherwise specified and are displayed including VAT and all other taxes (subject to change of such taxes), unless stated differently on our website or the confirmation email. When purchasing flights, airport taxes and fuel charge, will be added to the holiday cost.
Iceland Travel reserves the right to increase prices already quoted or published on our website without notice in the event of currency fluctuation, government taxes, or due to any other cost increases that are beyond Iceland Travel's control.
After the invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. IT will absorb an amount equivalent to 5% of the package price. Amounts that exceed the 5% will be charged and clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%.
Iceland Travel is not responsible for any changes in currency exchange rates.
Iceland Travel reserves the right to correct wrong pricing, in case a booking is made on a package/tour that holds a wrong price within the booking system. In such cases, you will be informed as soon as possible and notified about the correction. Should you need to pay additional fee, you will have the option of doing so. However if you choose to cancel your booking, you will get a full refund. You will be refunded in the same currency as your purchase was made. No compensation will be paid and Iceland Travel shall have no further liability to you.
Iceland Travel reserves the right to alter the prices of any of the daytours, packages, holidays and other services shown in our website icelandtravel.is. It is unlikely that we will have to make any changes to your booking after it has been confirmed. However, occasionally, changes do occur. Most are minor and you will be informed as soon as possible if there is time before your departure. Should you need to pay additional fee, you will have the option of doing so. However if you choose to cancel your booking, you will get a full refund. You will be refunded in the same currency as your purchase was made. No compensation will be paid and Iceland Travel shall have no further liability to you.
If a package or tour is cancelled due to situations beyond our control or minimum numbers not being reached we will refund the money you have paid. No compensation will be paid and Iceland Travel shall have no further liability to you.
ROOMING LISTS
A preliminary rooming list must be received no later than 8 weeks prior to the client's arrival, and a final rooming list at least 4 weeks prior to client's arrival.
CANCELLATION
All cancellations must be made by letter, fax or e-mail and confirmed by Iceland Travel. Cancellation is confirmed when In conformity with business practices within the Icelandic travel industry, the Travel Agent is obliged to charge cancellation fees to passenger(s) as follows:

The counting method for cancellation charges excludes the day of arrival, and a week is seven (7) days
If a service which has unconditionally been confirmed is cancelled by Iceland Travel, for example due to insufficient participation, cancellations must be made with at least 4 weeks´ notice on IT´s behalf. IT shall make every effort to provide similar alternative arrangements without additional cost to the buyer. Should those alternatives not be to the buyer's satisfaction, a full refund shall be made to the amount paid.
Please note that cancellation of one or more passengers within a group may cause a price increase for the group or a cancellation fee according to above rules for those cancelled passengers.
Cancellation terms may be stricter than stated above when dealing with conferences and large groups.
AMENDING OR CANCELLING PACKAGES THAT INCLUDE INTERNATIONAL FLIGHTS
If you wish to make any changes to your holiday arrangements after confirmation has been issued, changes will be accommodated based on availability. A 130 USD / 85 GBP / 100 EUR change fee per person applies to changes made up to 30 days prior to departure. Bookings cannot be changed 29 days or less prior to departure. Cancellation of a confirmed package will become affective the date Iceland Travel receives written notification of the passenger's intention to cancel the reservation. 10% cancellation fee per person applies to packages with flight that are cancelled 30 days or more before departure. Packages are non-refundable 29 days or less prior to departure.
All packages that include flight are offered on specific dates; therefore it is not possible to change flight dates or times.
SURCHARGES FOR INDIVIDUALS
(This section does not apply to packages including international flights)
All rates are quoted per booking.
Tailor-made Itineraries: Upon request Iceland Travel offers tailor-made itineraries for individuals, for a special service fee of EUR 150 / USD 200 / GBP 120. The fee includes a day by day program for the traveller.
Letter of Invitation: Only for services booked through Iceland Travel: EUR 30,-per booking.
Change fee: If one requests changes to already confirmed packages (i.e. self-drive packages), such as adding nights into the program, changing hotels or dates a change fee of EUR 100 / USD 130 / GBP 85,- will be charged.
Please note that there is no fee is for booking additional nights in Reykjavík before or after a tour/package.
CHILDREN'S DISCOUNTS
(This section does not apply to packages including international flights)
Scheduled Tours, Day Tours and Domestic Flights Infants 0-1 year are free of charge. Children 2-11 years sharing a room and/or travelling with a guardian will receive 50% discount from the listed price.
Self-drive packages Infants 0-1 years are free of charge. Children 2-11 years: Special children rate applies to all packages if sharing a room with a guardian. Rate according to price list.
Accommodation Children 0-5 years: Accommodation and breakfast free of charge, if sharing a room with guardian. Children 6-11 years: Charge for children's extra bed according to price list. Please note that the room should be booked as only for the guardian/s, if the child reduction is to apply. I.e. for 1 adult and 1 child, you need to book a single room plus extra bed and for 2 adults and 1 child, you book a double room plus extra bed.
Greenland packages Children 2-11 years sharing a room and/or travelling with a guardian will receive 50% discount from the listed price.
LIABILITY
Iceland Travel disclaims responsibility for any loss, damage, accidents, sickness or changes in schedules caused by weather, strikes or any other irregularity outside Iceland Travel's control. Iceland Travel reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the passenger has to pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.).
INSURANCE
We consider adequate travel insurance to be essential. Iceland Travel cannot accept responsibility for any cost for you or any of your travel party that may incur as a result of failing to take out insurance cover. Please read your policy and take it with you on holiday. It is your responsibility to ensure that the insurance cover you purchase is water sports, riding tours, snow scooter tours and winter sports whilst on holiday it is your responsibility to ensure that you obtain the relevant insurance cover.
CREDIT CAR FRAUD CONTIGENCY
If you do not supply the correct credit or debit card billing address and/or cardholder information, the issue of your tickets may be delayed and the overall cost may increase. We reserve the right to cancel your holiday if payment is declined or if you have supplied incorrect credit card information. We also reserve the right to do random checks (including the electoral roll) in order to minimise credit card fraud. As a result of this, before issuing tickets we may require you to provide us with a fax or postal copy of proof of address, a copy of your credit card and a recent statement.
PASSPORTS, VISAS, HEALTH REQUREMENTS AND TRAVEL DOCUMENTS
Iceland is a part of the Schengen agreement. For details on general visa, passport requirements and health information view the official website for Iceland Ministry for Foreign Affairs, www.mfa.is.
It is the passengers' responsibility to ensure that they are in possession of all necessary travel and health documents before departure, including a passport valid at least three months after return travel date. We cannot accept liability if you are refused entry onto any transport or into any country due to failure on your part to carry contact documentation. If failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly. In the event we are asked to reissue tickets that have been lost, destroyed or stolen and we agree to do so, any charges incurred as a result of this will be payable by you.
Passengers suffering from any known or suspected medical condition, or women more than 28 weeks pregnant, must notify us at least 30 days before departure. They must also produce a medical certificate confirming fitness to travel. We reserve the right to refuse or cancel bookings if relevant certificates are not produced and we will not be liable for any operator's refusal to carry any person who has not notified us of their condition.
COMPLAINTS
If you have a problem during your holiday, please inform the relevant supplier (e.g. hotel) immediately so that they can endeavor to put things right. If your complaint cannot be resolved locally, your complaint must reach Iceland Travel within 5 days from departure from Iceland. Otherwise possible compensation is not valid.
All information on our website Icelandtravel.is is subject to change. Iceland Travel reserves the right to alter/change/correct mistakes that may possibly appear on icelandtravel.is.
