Action plan

Our preparation for each event begins with drawing up an action plan in co-operation with the organizing committee. As one of the largest organizers in Iceland, we have excellent contracts with all the main service providers, enabling us to supply the highest standards of service in all our activities. Our technical know-how, including expertise in websites and on-line communications, greatly facilitate all preparation right from the planning stage.

 

Information and promotional material

We provide assistance with all information services keeping the conference, meeting or event guests updated at all times. This includes:

  • Management of the conference office
  • Delivery of conference documents
  • Overall information service

We also provide consulting assistance that relates to the design, production and distribution of information and promotional materials, whether in printed or electronic form. This includes:

  • First announcement
  • Second announcement
  • Registrations
  • Abstract management
  • Program finalization
  • List of participants
  • Online registration of attendees

Iceland Travel has exclusive rates at various suppliers in terms handling and booking of e.g.:

  • Accommodation 
  • Venues 
  • Restaurants and catering 
  • Necessary equipment and all technical services
  • Specialized staff, such as translators/interpreters

 

Refreshments, recreation, transportation and tours

Our Meetings & Conferences division benefits from the long running relationships Iceland Travel has with various suppliers providing the best available rates in the field of refreshments, transportation, activity and recreation.

Exclusive contracts with VITA Business, a travel agency which also is a subsidiary of Icelandair Group, enable us to provide flight tickets at great rates. Iceland Travel is able to assist you with the following:

  • Partnerships with foreign travel agencies
  • Conference dates provided to airlines
  • All transport before, during and after the event
  • Planning and booking of tours
  • Planning and booking of flights to and from Iceland
  • All tour and transport assistance to guest speakers
  • Exhibitions and fairs in conjunction with the conference or meeting
  • Venues provided for exhibitions, such as trade fairs
  • Preparation and implementation of the exhibition
  • Design and posting of documents and materials, such as blueprints of the exhibition area, application forms, general information and conditions
  • Planning and handling of group meals and gala dinners

 

Finance

Planning a budget is one of the most important tasks when it comes to organizing a conference or an event. Iceland Travel handles all payments and accounting needed for your project. Here is an overview of our services:

  • A budget is prepared at the onset of the project and reviewed regularly.
  • Iceland Travel Conferences is responsible for the accounting of the conference or meeting.
  • Payments by event participants will be transferred to a special master account.
  • Final payment by participants of their registration fees and hotel accounts are to be made to Iceland Travel Conferences before their arrival to Iceland.
  • The organizing committee is required to settle the master account no later than three months after the event.
  • Iceland Travel Conferences handles all payments for printing and mailing at no extra charge.
  • Registration fees are payable to Iceland Travel Conferences.
